You can import a designation file into Case Builder to create annotations across many depositions at once, instead of adding each designation by hand.
Before you start
Your designation file must be a CSV file. Case Builder does not accept other file types.
Each row in the file must be one designation. A single import supports up to 5,000 rows and up to 500 depositions.
Prepare your file before you upload it:
- Give each column a unique name. Case Builder cannot read a file with two columns that have the same name.
- Enter page and line values as whole numbers.
- Enter deponent names, notes, and tags as text.
- Use a semicolon to separate more than one note or more than one tag in the same cell.
Add any tags you want on your designations to the file before you import it. Case Builder applies tags from the file. It does not add tags after the import.
Step 1: Upload your file
- Go to the deposition module.
- Click the Import Designations button in the top right.
- Drag your CSV file into the upload area, or click to browse for it on your computer.
- Look at the icon next to the file name. A green check mark shows that Case Builder accepted the file. A red warning symbol shows that Case Builder could not accept it.
- To remove a file, click the trash icon.
- Click Next.
The Next button stays disabled until you upload a file that Case Builder accepts.
Case Builder shows an error message if the file is not a CSV file, if the file is empty, if two columns have the same name, or if the file cannot be read. Correct the file on your computer, then upload it again.
Step 2: Map your fields
In this step you tell Case Builder which column in your file goes to which Case Builder field.
- Review the two columns in the table. The left column shows the fields from your file. The right column shows the Case Builder fields.
- Case Builder fills in the matches it can identify. A red warning symbol shows next to each field that did not match.
- Click the drop-down next to a field to select the correct Case Builder field.
- For Notes and Tags, you can select Do not map if you do not want to import that information.
- Click Next.
The Next button stays disabled until you map all the fields. Deponent, deposition date, and the four page and line fields are required.
When you click Next, Case Builder checks your mapping. A red warning symbol shows next to any field that failed the check. Case Builder shows an error if a page or line column contains something other than a whole number, if a text field contains the wrong type of value, or if you mapped the same column more than once.
Step 3: Map your depositions
In this step you tell Case Builder which deposition in your case matches each deponent and date in your file.
- Review the three columns in the table. Imported Deponent and Imported Deposition Date show the values from your file. DISCO Deposition shows the matching deposition in Case Builder.
- Case Builder fills in the matches it can identify. A red error symbol shows next to each row that did not match.
- Click the drop-down in the DISCO Deposition column to search for and select the correct deposition. The list shows the deponent name and the deposition date together.
- If you do not want to import the designations for a row, select the option not to map that row.
- Click Next.
The Next button stays disabled until every row has a selection. The rows appear in the same order as in your file.
Step 4: Map your tags
In this step you tell Case Builder which of its tags matches each tag in your file.
- Review the list of tags that Case Builder read from your file.
- Case Builder fills in the matches it can identify. A red warning symbol shows above the table, and a red error symbol shows next to each tag that did not match.
- Click the drop-down next to a tag to find an existing Case Builder tag, or to create a new one.
- If you do not want to import a tag, select the option not to map it.
- Click Import.
You can map more than one tag from your file to the same Case Builder tag. Case Builder shows a yellow warning when you do this, but it does not block the import.
Case Builder creates a new tag or tag group as soon as you select it in the drop-down. The new tag stays in your case even if you cancel the wizard.
If your file has no tag column, Case Builder disables this step and shows the message No tags in the import file. The button on the deposition mapping step then reads Import.
Step 5: Start the import
- Review the confirmation window. It shows how many designations Case Builder will apply, and how many depositions it will apply them to.
- Click Import to continue, or Cancel to go back.
Case Builder closes the window and shows a message in the bottom right corner to confirm that the import started. You do not have to stay on the page while the import runs.
Tracking the import
Open your notifications to see the import job. When the import finishes, download the results spreadsheet from the notification. The spreadsheet contains the rows from your file and one added column named Import. Each row reads Success or Failure.
Case Builder sorts the failed rows to the top of the spreadsheet and marks the cell that caused each failure. Correct those cells, then import the corrected rows as a new file.
Finding your imported designations
Case Builder creates each imported designation as an annotation in the matching deposition, with the notes and tags from your file.
Imported annotations record Import as their source. Manually created annotations record Manual. You can see the source in the History section of the annotations module, and you can filter your annotations by source.
Case Builder records the user who ran the import as the creator of each imported annotation.
Canceling or going back
Click Back at any step to return to the previous step. Case Builder keeps your progress.
Click Cancel to close the wizard. Case Builder erases all of your progress, and you must start again from the upload step. Any tags you created in the wizard stay in your case.
Removing imported designations
If you import the wrong file, you can select the imported annotations and delete them in bulk. Filter your annotations by the Import source to find them.
